Why Should Hospitals and Doctor’s Offices Use Insurance Billing Software

Billing is always an issue in a medical facility if right tools are not used. Unlike other businesses, getting payment for the service provided is not a one step process in a health care system. It involves elaborated procedures. Most of the times, insurance companies ask for documentation proofs to process the claim. Without a tracking system, it is highly impossible for the billing staff to pull out the necessary documents and most of the times claims get rejected due to insufficient evidences.

However, software technologies have done wonders in the medical field and billing department is not an exception. Today’s insurance billing software, well known as medical practice management system does everything to ease the administrative process of the medical system; from scheduling the appointment to getting the reimbursement.

Insurance billing software has dramatically reduced the errors in the insurance claiming process. If at all any error occurs, it is due to the manual errors in the data entered. Since the claim submission, claim tracking and claim processing; all are done electronically, the reimbursement is done as fast as in couple of weeks.

As per the government, all software used to store the patient information should be HIPAA (Health Insurance Portability and Accountability Act) compliant. This is enforced in order to prevent any fraud as well as to keep the patient confidentiality. Most of the well programmed software requires the users to have individual user ID and password to access the patient information. This ensures that the patient’s information is never at stake.

There are two types of software; client server and application service provider. Client server has to be installed entirely in the hospital computer and this demands upfront payment. However, in application service provider, the data processing and data storage is done in the vendor’s server and all the information are transferred over the internet. For application service provider, payment is done on monthly basis. Productivity wise both work the same. However, before buying any software, the physicians should evaluate the software thoroughly to check whether the software is completely HIPAA compliant and meets all the other required standards. Insurance billing software works as a mediator between the hospital and the insurance company. Any data entered in one computer should be accessible in the other. Insurance companies and the hospital need not use the same software and yet the data should be transferable. So, Insurance billing software users should always make sure how well the software interfaces with the other software before making any purchase.

Insurance billing software is a basic requirement for a well established hospital, where lots of patients keep coming daily to get their treatment done. It is a convenient way to increase the productivity. However, a comprehensive insurance billing software may not be a practical option for small clinics, as the cost of the software itself is high and may not be affordable to small medical offices.
